Job Summary:

As an Administrative Assistant, you will play a pivotal role in providing comprehensive administrative support to our director and related departments. This remote position offers an opportunity to join a dynamic team dedicated to excellence in early education.

Essential Functions:

  1. Clerical Support: Provide efficient clerical and administrative assistance to Early Education Director(s).
  2. Meeting Coordination: Plan, schedule, and coordinate meetings, presentations, events, and travel arrangements. Ensure timely reminders for upcoming appointments.
  3. Compliance Management: Assist in maintaining employee EEC compliance records with accuracy and attention to detail.
  4. Financial Administration: Assign accurate general ledger numbers to invoices for supervisor approval. Prepare and process expense reports, contracts, agreements, MOUs, and purchase orders.
  5. Document Management: Prepare, copy, and distribute meeting minutes, agendas, and other relevant documents within specified timelines.
  6. Supply Management: Order office supplies and food for assigned departments, ensuring adequate inventory levels.
  7. Reporting: Generate statistical reports as required, utilizing databases and other resources effectively.
  8. Record Keeping: Maintain organized and accurate filing systems for documents and records.
  9. Database Management: Manage assigned databases efficiently, ensuring data integrity and security.
  10. Customer Service: Answer and respond to phone calls promptly, delivering excellent customer service at all times.
  11. Meeting Coordination: Coordinate and schedule meetings, room rentals, and reserve appropriate room space.
  12. Professionalism: Maintain a professional and positive customer service environment, adhering to YMCA policies and procedures.
  13. Training and Development: Attend staff meetings and trainings to stay updated on organizational policies and procedures.
