HUMAN RESOURCE ASSISTANT – Borana Conservancy

Position Title: Human Resource Assistant
Location: Borana Conservancy
Reporting to: Human Resource Officer
Salary: Competitive salary based on qualifications & experience

Key Duties and Responsibilities:

Recruitment Coordination:

  • Assist in coordinating recruitment efforts, including job postings, candidate screening, and interview scheduling.
  • Support the organization in performing background checks with respect to recruitment processes.

Documentation and Record-keeping:

  • Assist in drafting employment contracts, offer letters, and other recruitment-related documents, ensuring legal compliance.
  • Compile and maintain employee documentation and records, keeping the employee database up to date.
  • Accurately organize and maintain employee files and confidential documents, either electronically or physically.
  • Collaborate with HR Officer to document all transfers, staff changes, and terminations.

Offboarding and Administrative Support:

  • Manage the offboarding process, including administration of exit interviews and knowledge transfer.
  • Provide administrative support for the HR department, including filing and other assigned duties.
  • Conduct file audits to collect and maintain all required documents in employee files.

Reporting and Compliance:

  • Prepare periodic reports on the overall HR status of programs.
  • Support in preparing necessary information for timely staff payroll preparation.
  • Ensure adherence to employment laws, company policies, and data protection regulations.
  • Communicate policy changes and updates to employees, ensuring understanding and compliance.

Employee Relations and Guidance:

  • Support in resolving employee relations issues, including investigations, disciplinary actions, and conflict resolution.
  • Provide guidance to management and employees on HR policies and procedures.

Minimum Qualifications, Skills, Competencies and Experience:

  • Bachelor’s degree/Diploma in Human Resources.
  • Member of IHRM in good standing.
  • At least 3 years’ experience as an HR Assistant or in a similar capacity.
  • Knowledge of relevant Employment and labor relations laws in Kenya and HR best practices.
  • Proficiency in Microsoft Office.
  • Strong organizational and multitasking skills with attention to detail.
  • Excellent communication and interpersonal skills.
  • Ability to handle sensitive information with confidentiality and professionalism.
