SUMMARY

Job Title: Communications Assistant
Employment Type: Full-time, one year
Location: Nairobi, Kenya
Reporting Structure: Reports to Programme Officer, Communications, IT and Knowledge Management (Communications Officer) and Senior Programme Manager: Publications and Communications.

Job Context:

Rift Valley Institute (RVI) is a non-profit organization dedicated to advancing knowledge and understanding of eastern and central Africa. We aim to provide insights into local realities that inform social and political action. As part of our expansion, we are seeking a Communications Assistant to join our team in Nairobi. This role is vital in enhancing our communication strategies to effectively promote the Institute’s work.

Job Purpose:

The Communications Assistant will work closely with the Communications Officer to manage RVI’s external communications. Responsibilities include maintaining website content, managing social media platforms, supporting marketing efforts, providing IT support, and assisting with multimedia content creation.

KEY RESPONSIBILITIES

Website Management (15%)

  • Maintain and update the RVI website with fresh content, ensuring accuracy and engagement.
  • Coordinate website enhancements and collaborate with web developers as needed.
  • Utilize Google Analytics to track and analyze website traffic, providing insightful reports.

Social Media Management (20%)

  • Administer RVI’s social media accounts to highlight initiatives and maintain an engaging online presence.
  • Gather and schedule content across RVI, ensuring consistency and relevance.
  • Measure key performance indicators for social media and provide regular reports.

Communications and Marketing (20%)

  • Prepare and disseminate RVI’s newsletter and programme updates to wide audiences.
  • Manage communications mailing lists and assist in creating targeted campaigns and promotional materials.
  • Monitor the effectiveness of marketing efforts and establish key performance indicators for continuous improvement.

Knowledge Management and IT Support (20%)

  • Manage file storage protocols and contact databases, ensuring compliance with organizational standards.
  • Administer online software tools and services, providing support to staff as needed.
  • Offer IT support to the RVI team and coordinate hardware maintenance and purchases.

Multi-media Content Creation (25%)

  • Coordinate with external designers to enhance publication templates and support video production processes.
  • Assist in the design and editing of publications using Adobe InDesign.
  • Contribute to various multimedia tasks, such as photography at events, to enhance RVI’s digital offerings.

PERSON SPECIFICATION

Knowledge and Qualifications

  • Diploma, certificate, or bachelor’s degree in a related field.
  • Knowledge and interest in the region of RVI’s work.
  • Trained in or basic understanding of Adobe InDesign, Photoshop, Illustrator, and/or Premier Pro.

Experience

  • Minimum of two years’ work experience in a related role for Diploma or Certificate holders.
  • Demonstrable experience working independently and as part of a team.
  • Experience in multicultural environments and with diverse backgrounds.

Skills and Abilities

  • Strong understanding of social media management and content creation.
  • Excellent verbal and written skills in English.
  • Strong organizational skills and attention to detail.
  • Ability to learn and implement new systems quickly.
  • Proficiency with website and social media management tools.
  • Knowledge of an additional language spoken in the countries of RVI’s operation is an advantage.
